Sales Administrator

The Sales Administrator works with customers and customers’ orders in support of the US Sales Team.    This role focuses on customers in the Independents Sales Channel, direct to consumer order fulfillment for 3 retailers, and administering the accounts handled by Wild & Wolf’s external sales rep groups on the West Coast and in Canada.  This role may also work with Key Account customers supporting other members of the Sales Administration team.

Primary responsibilities include customer account setup, purchase order management, order processing, order management, account management, and shipping coordination.  Assisting with invoicing and issuing credit notes may also be required.

Key Accountabilities:

 

Customer Account Setup

Accurately set up customers in Sage and Workbooks and return all required documentation back to customer to obtain vendor number. This might include:

Obtaining signatures for any on-boarding setup forms

Obtaining Certificates of Insurance

Managing customer portal and assigning access to specific users

Liaising with HK and UK offices to obtain necessary factory and item information

Obtaining product images

 

Purchase Order Management and Order Processing

Receive Purchase Orders via email, fax, and through WildandWolf.com.  Download Purchase Orders from third-party platforms including Brandwise and SPS Commerce, customer portals, and Sales Pak. Manually enter each Purchase Order into Sage and where applicable, create a PO Summary to convey PO details to Sales Team.   Where applicable, ensure orders are acknowledged appropriately in the customer’s portal and any change requests are made in a timely manner.

Work with Sales and Inventory teams to resolve any quantity discrepancies

Ensure any customer-specific information is added to the Sage order as comment line (customer SKU number, color codes, etc.)

Remove out of stock items. Per customer, move to new backorder or cancel. Work with inventory team to ensure accurate ship date for backordered items.

 

Order Management

Ensure the timely and accurate fulfillment of all customer orders by dispatching orders to the warehouse at the appropriate time.  Manage backorders and delayed shipments.

Ensure all Prepaid customers have been charged and all Net 30 customers are available to ship. Work with Credit Controller for any customers on Hold.

Monitor existing backorders. Follow up with Sales Team to determine if backorder should be shipped once stock comes in or if any additional items should be added to the order.

Liaise with warehouse and inventory teams on any stock issues. Revise Sage dispatch notes when necessary.

Work with Sales team to request ship extensions or other exceptions when needed.

Manage any stock holds or customer forecasts. Ensure these holds and forecasts are being reduced once POs are received.

Liaise with inventory team to allocate stock and ensure all unallocated stock has an ETA.


Account Management

Review the customer’s vendor guidelines to ensure all customer’s requirements are met.  For the direct to consumer orders, manage the list of items offered for sale in partnership with the Sales Manager and the retailer.

 

Shipping Coordination

Provide shipping requirements to the warehouse to ensure timely shipment or customer pick up.  Ensure the expected turnaround times for the direct to consumer orders are met.

 

Invoicing and Credit Notes

Invoice the customer in Sage and in the customer’s portal if necessary.  Investigate chargebacks and issue credits as needed.

 

Job Requirements:

2+ years of Sales Administration/Order Processing/Supply Chain experience

College degree

Highly organized and detail-oriented

Effective communication skills

Strong sense of urgency and ability to prioritize

Proactive attitude

Strong interpersonal skills and appropriate customer service manner

Knowledge of basic Excel functions, including v-lookups and pivot tables; advanced Excel a plus

Experience with enterprise systems

Familiarity with vendor portals a plus

We’re looking for an e-com Account Executive to join the Wild & Wolf pack in our New York office. We're looking for someone passionate about e-commerce. Someone that is detail orientated and can work across a diverse number of brands, product categories and e-com retailers.

ACCOUNT EXECUTIVE - ECOMMERCE

We’re looking for someone passionate about ecommerce.  Someone that is detail oriented and can work across a diverse number of brands, product categories and e-com retailers.

We are Wild & Wolf, a dynamic and truly creative consumer goods company. We make thoughtful, well made gifts for all ages, working with licensed brands and our own in-house IP. We have a successful and rapidly growing e-com business working with Amazon and other household names. This position reports into the Senior Ecommerce Account Manager responsible for leading key accounts in the US/ Canada. This position is based in our New York office in central Manhattan.  

Responsibilities:

Support the gathering of data, images and assets needed for new product set up across all e-commerce platforms

Assist in account set-up / on-boarding of new e-commerce customers and communicate new partner requirements to key internal stake-holders

Daily purchase order management involving accepting and processing e-commerce orders, checking stock availability, entering orders into Sage and liaising with warehouse on delivery.

Review inventory reports on a weekly basis and flag low inventory items to the Senior Account Manager. Work with the Senior Manager to manage inventory reserved for e-commerce channels, releasing inventory where not required.

Assist Senior Account Manager in monitoring our operational performance scores. Work with Senior Account Manager to review chargebacks.

Coordinate issue of sales decks and samples to accounts where required

Monitor consumer reviews across key e-commerce sites and create summary monthly report of negative reviews

After an initial training period this role will develop to manage a dedicated number of E-commerce accounts, supported by the Senior Account Manager.

The Person:

2+ years experience in sales administration or working within an existing ecommerce team

Experience working with Amazon Vendor Central ideal but not a pre-requisite

Detail oriented. Fluent in Excel and highly organized

Positive, flexible and proactive attitude

Excellent verbal and written communication skill.

Ideally has experience within Gifting, consumer products, or toys but not a pre-requisite.
